- Does The Rotunda have a "pre-function area" for registration tables and can you supply these?

Does The Rotunda have a "pre-function area" for registration tables and can you supply these?
Yes there is a pre-function area and we do have tressels, we normally serve any drinks butler style.
How is the venue being split for "business" vs "party"? (is business on one side, and party on the other?)
It is very difficult to split the room as the roof is 5 floors up. Because the venue is round and sound travels, it does become rather noisy and is not very functional.
What is the length, width, height of the space?
The venue is round and is 27m in diameter the roof is 19.5m high in the centre and tapers down to 11m
What is the width & height of access doors?
Width is 1.8m and the height is 2.1m
What is the height & space off-wall variables for coffered or recessed ceilings?
There is 14 columns the distance between them is 5m and 7m from the floor to the window.
Are there chandeliers, if so how deep do they drop and how many are there?
There are no chandeliers.
Size of windows and how many and are they "black out" friendly or do I need to bring draping?
There are blinds but they do not have a 100% black out, the windows is 7m high off the ground and is 4.5m long with a 1.5m half dome shape.
What are the dimensions and positions of fixed structures like stages, hot-stations, buffet points, reception counters etc?
The stage is 7m high and 14 meters long and 6 meter deep.
What is the power capacity and where is this positioned relative to the function space?
There are 5 x 15amp sockets and 3 x 20amp 3-phase plug in sockets in our chair store which is 8 meters from the stage.
If there's air-conditioning, is it on a separate power phase to that of the function area, and the same applies to the catering power?
Yes both the air-conditioning and catering power is on a separate power supply.
Is the house lighting remotely controllable if so how and is it zoned, or one big master group?
There are only two light switches in the venue that are only on or off. There are two sets: the top set shines upward and the bottom set shines up and down - they create a soft light.
What kind of flooring does the space have (carpet, marble, tiles)?
There are black carpets in both areas and the dance floor can be covered in the same carpet, packers is advised.
What kind of loading area access do I have for my vehicles and how far is it from where the vehicles park to access to the room?
The parking for them is about 20 meters from the entrance.
Is the parking secure for the vehicles?
Public parking (property of the Municipality of Cape Town) is available at
the back of The Rotunda and works on a first come first serve basis.
Public parking is also available all around the hotel (i.e. Victoria Rd.)
Under-cover parking is available in the Promenade Centre adjacent to The Bay
Hotel - vehicles are charged per hour and payment is for the individuals own
account.
The parking area in the front of the hotel is reserved ONLY for in-house
guests.
The Bay Hotel does not take any responsibility to guarantee any parking.
The sports field adjacent to The Bay Hotel is available at an additional charge - this request is subject to the discretion of the Camps Bay Club Manager.
Is it possible to get "group rates" for accommodation for myself and my technical team and if so, what rates?
We have group rates, 10% discount on rack rate. In season we only allow a maximum group of 10. We also have a variety of accommodation in our other Villages.
What happens if I want to cancel a booking?
Should the function be cancelled or postponed:
- After signature of contract and within 60 calendar days prior to the date of the function, the full deposit amount will be retained to cover the cost of room rental.
- Should the function be cancelled or postponed within 7 calendar days of the date of the function for a reason other than an inability of The Bay Hotel to provide the necessary facilities and services as set out herein, the estimated cost will become payable to The Bay Hotel to cover the cost of room rental and loss of potential income.
- Should your reservation be made within 60 calendar days prior to the start of the function, the function will be deemed confirmed upon signature of contract and all deposits and cancellation fees due as set out herein, will become payable to The Bay Hotel in the event of the function not happening.
- Should your function be cancelled in excess of 60 calendar days prior to the start of your function, any deposits made will be duly refunded.
The customer shall pay full cancellation fees in the event of:
- The number of guests attending the function decreases and makes the final invoice of the event less than R30 000.
- The date of the booking being postponed for longer than 3 months than the original booking.
- The booking being cancelled after the equipment and décor has been ordered.
